Hills Consulting

From fee proposal to signed approval.

For Hills Consulting Engineers, we built structured quotes, revision records, electronic signing and client job updates. Staff tested the enquiry-to-signature workflow on real data in a preview environment.

The case study records the build before domain cutover. Documents, invoicing and messaging remain later roadmap stages.

Built around how you work.

Document libraries, payments, invoicing, messaging and historical imports need agreed scope. Your adviser should review the legal requirements for signed documents.

Intake and quoting

Capture what staff need to start a job. Track quote templates, revisions and the version each client accepts.

Access and signing

Choose login or time-limited links. For signing, agree the document, signer details and acceptance record to retain.

Project updates

Show clients their job status and public notes. Keep internal notes separate and choose which updates trigger an email.

Roles and permissions

Define staff and client access. Test who can view records, download files, send quotes and approve changes.

The right size of build.

A process your software cannot cover

Custom development fits when your quoting rules, approvals or project stages need more than your current tools provide. Start with a workflow staff repeat often.

Your existing tools may be enough

If your CRM or practice management tool already covers client access and approvals, configuring it may be enough. We check the gaps first.

Start with what you need.

Start with client access and job updates. Add quoting, approvals or a connection to an existing system as the scope grows.

Before you start.

Can the portal work with our existing website?

Yes, subject to the systems involved. We can build a separate portal or combine the website and portal. Hills Consulting uses one application; your existing site may need an integration.

Do clients need another password?

Not necessarily. Hills Consulting uses links for signing and one-time email links for job access. We choose the method around the information and actions clients can access.

Can clients see staff notes or other projects?

We separate client and staff views, then test permissions at the server and data layers. Those checks include attempts to open another client’s records or files.

Can we add invoicing later?

Yes. Each stage can use the same job record, with its own scope and acceptance checks. Hills Consulting’s roadmap starts with quoting, signing and job updates, with invoicing planned later.

What do you need to quote a portal?

Send sample forms, quotes and status updates with sensitive details removed. Tell us who needs access, which systems must connect and what the first release needs to do.
